Share a Collection

Collection trees are shared by giving access to User Groups, rather on the level of individual members. If you want to share a Collection with someone who is not part of a Group with access, the easiest way is to add them to the Group. The Collection will then be visible in their Libraries panel. Sometimes, it may not be appropriate to add them to a group, if you want to limit their access to other files in the account. In that case, you will want to duplicate the Collection to a Lightbox and share the Lightbox. Note that Collections can be made Public.

Share a Collection with User Group(s)

You can check a Collection's Group Permissions in the info overlay:

  1. In the Workspace, find the Collection you want to share.
  2. Click the info icon next to its name in the Collection tree to open the info overlay.
  3. See the Permissions panel for information about the groups it is shared with. If you need to share the collection with another Group, or change the level of the Group's access, change the Group Permissions for this collection. If it is appropriate to add a member to one of the groups listed, follow the instructions here.

Duplicate a Collection to a Lightbox

If you need to share a Collection with someone, and it is not appropriate to add them to a user group with access, the best way to do so is by duplicating it to a Lightbox. The Lightbox can then be shared with them individually. They will be notified and see the Lightbox in the Shared with me section of the My Projects panel. Click here to learn more about sharing Lightboxes

  1. Locate the Collection you would like to duplicate to a Lightbox.
  2. Click the Info_Popup.pnginfo icon next to the Collection's name to open the info overlay.
  3. Click Duplicate to Lightbox.
  4. Click OK to confirm.
  5. Refresh the My Projects Panel to see your new Lightbox. The Lightbox can be shared according to the instructions here.

Sharing a Collection via URL

When you send someone a link to a Collection, they will only be able to view it if they are logged in and part of a User Group with access to it. If they are not logged in, they will be presented with a prompt to log in or to request access to the account. If they already have a login and do so, they will be taken to the Collection right after login.
